Exporting Incident Reports
 

The end of the year is approaching and everyone has some housekeeping to take care of.  Over the next few weeks, the Tip of the Week will relate to end of the year/beginning of the year activities.  If you have any suggestions, please feel free to reply to this email.  The first end of the year tip is exporting your incident reports.  This is the number item discussed during a support call for the month of January.    

 

Exporting Incident Reports
 

1.  Open Incident Reporting by clicking on the Incident Reporting icon.

 

2.  From the Incident Reporting Menu, click the ‘Export Incidents’ icon.
 

3.  Make sure your FDID # is listed (some departments have multiple FDID #’s – in 99% of the cases this field will already be correct).
 

4.  Select the desired Starting Date & Ending Date by clicking on the drop down arrow at the end of each box.  A calendar will display – use the calendar to select the dates that you would like to export.  (Example:  Start Date = January 1, 2007, End Date:  December 31, 2007).
 

5.  If you are including months which you have already exported or would like to reexport incidents within the date range selected, check the box labeled ‘Include Previously Exported Incidents’.
 

6.  If you have changed or deleted an incident that has already been exported & sent to your state or FEMA – check the box labeled ‘Export Only Changed or Delete’.  This will export only those incidents that have been modified or deleted.
 

7.  Choose your Export Method – to file – will create a file.  To email – will create a file to be emailed.
 

8.  If choosing to File, enter appropriate path and file name (example: c:\incidents.txt) – then click Create Export.
 

9.  If choosing to Email, enter desired email address to send to, and your appropriate SMTP settings (if you do not know, please contact your ISP) – then click Create Export.
